IGLYO (hereafter ‘we’) commits to respect the privacy of its Members, Friends, partners, contacts, activity applicants and participants, followers, and website visitors.

This page informs you on our policies regarding the collection, use and disclosure of personal information (further ‘Personal Data’) we receive from users of our website https://www.iglyo.com (called hereafter the ‘IGLYO website’), Members, Friends, partners, activity applicants and participants, contact, and followers. 

IGLYO entities who have access to Personal Data and are not considered third-parties are, in order of access frequency, the IGLYO Secretariat (staff members), the IGLYO Executive Board, and the IGLYO Governance Team.

IGLYO is informed of the importance of data protection and is consulted on following the appropriate steps to respect privacy, confidentiality and security of your Personal Data.

Please be aware that data transfer via the internet is subject to security risks, and, therefore, we cannot guarantee a complete protection against third-party access to transferred data.

1. Consent

By using the IGLYO website, you hereby consent to our Privacy Policy and agree to its terms.

2. GDPR Data Protection Rights

We would like to make sure you are fully aware of all of your data protection rights. Every user is entitled to the following:

  • The right to access – You have the right to request copies of your personal data. 
  • The right to rectification – You have the right to request that we correct any information you believe is inaccurate. You also have the right to request that we complete the information you believe is incomplete.
  • The right to erasure – You have the right to request that we erase your personal data, under certain conditions.
  • The right to restrict processing – You have the right to request that we restrict the processing of your personal data, under certain conditions.
  • The right to object to processing – You have the right to object to our processing of your personal data, under certain conditions.
  • The right to data portability – You have the right to request that we transfer the data that we have collected to another organisation, or directly to you, under certain conditions.

3. Purposes of collecting and using Personal Data

We collect personal information you provide to deliver different services (called hereafter the ‘Service’) such as newsletters and mailings, updates regarding your membership benefits and duties, information on our activities/events/programmes (including those you applied/registered for), publications, advocacy campaigns and other activities and projects. The data are collected based on IGLYO’s legitimate interest to inform you about our activities and based on your prior consent.

Therefore, we collect and use Personal Data to provide and maintain the Service; to notify you about changes to our Service; to allow you to participate in the Service and to support you when doing it; to provide analysis or valuable information so that we can improve the Service; to monitor its usage. Moreover, we collect Personal Data to improve your user experience in relation to the IGLYO website.

4. Types of data collected

The personal information that you are asked to provide, and the reasons why you are asked to provide it, will be made clear to you at the point we ask you to provide your personal information.

While using our Service, we may ask you to provide us your Personal Data that can be used to contact or/and identify you. Personal Data may include, but is not limited to: your first and last name(s), pronouns (always optional), organisation name, job title, city, country, email address, phone number, and date of birth. 

Information on the types of data collected in specific contexts is further detailed below:

4.1. Direct contact

If you contact us directly, for example via email, through our website contact form or on social media, we may receive additional information about you such as your name, email address, phone number, the contents of the message and/or attachments you may send us, and any other information you may choose to provide.

4.2. Newsletter subscription

When subscribing to our newsletter, we will ask you to provide us with the information mentioned in 4. Types of Data Collected. The information you provide will be added to our CRM platform Glue Up, whose Privacy Policy is available here

All newsletter subscribers can unsubscribe from our mailing lists at all times by clicking the “Unsubscribe” button at the bottom of our mailings sent through Glue Up. If you are an IGLYO Member or Friend of IGLYO, be aware that unsubscribing from our mailing lists or limiting your access to it makes us unable to provide you our Service in an appropriate way. 

Newsletter subscribers can also control their own mailing lists subscriptions and personal data on Glue Up by creating a Glue Up account with the email address they used to subscribe to the IGLYO newsletter, or ask to edit or remove their information from the Glue Up platform by writing to our Communications Officer at jeremy@iglyo.com

4.3. Members

Organisations interested in the IGLYO Membership apply through an online form on Survey Monkey, available on the IGLYO website. In this form, we ask the organisation to provide us with the information mentioned in 4. Types of Data Collected about their main contact person. In addition, we also ask the organisation to provide us with its legal details, such as its registration number, address, contact details, and total annual income range, as required by our Statutes to determine the organisation’s Membership level.

Once a Member Organisation is approved by our Board, the information they provided through the application form on Survey Monkey is uploaded on our CRM platform Glue Up (their Privacy Policy is available here), where IGLYO manages all IGLYO Memberships. Member Organisations and their linked contacts are then automatically subscribed to our mailing lists on Glue Up, including our newsletter.

For IGLYO to be able to manage an organisation’s Membership, the Member Organisation is asked to create a Glue Up account, through which are be able to manage and update its information, Membership, and payments. The Member Organisation is responsible for keeping its information up to date on Glue Up, and to keep IGLYO informed of potential changes that might affect communications related to their Membership. 

Member Organisations also have the possibility to appear on the IGLYO website’s public Members’ list, and have a page on the IGLYO website dedicated to their organisation, by filling out a submission form on Survey Monkey. These pages include information on the Member Organisation’s logo, name, country, areas of work, website or main social media channel, short bio, mission statement, and photos. Member Organisations can ask for edits or removal of their information public on the IGLYO website by either writing to our Communications Officer at jeremy@iglyo.com, or by updating their information through the IGLYO Members’ Info Form sent to them every year.

As it is specified in the submission form that all photos and materials submitted by a Member Organisation for publication on the IGLYO website should be free of copyrights, and for people appearing on the photos to have consented to it prior to their submission, Member Organisations are entirely responsible for the photos and materials they submit for publication on the IGLYO website, and IGLYO declines all legal responsibility in this regard.

For a Member Organisation to cancel their IGLYO Membership, the IGLYO Statutes require the Member Organisation to send a written request to the IGLYO Board.

4.4. Friends of IGLYO

Organisations interested in becoming a Friend of IGLYO apply through an online form on Survey Monkey, available on the IGLYO website. In this form, we ask the organisation to provide us with the information mentioned in 4. Types of Data Collected about their main contact person. In addition, we also ask the organisation to provide us with its legal details, such as its address and contact details.

In addition, organisations applying to become Friends of IGLYO are asked whether their logo, name, country and website/social media link can appear on the IGLYO website. Should they agree, this information will be publicly available on the IGLYO website. A Friend of IGLYO can request edits to or removal of their public information from the IGLYO website at all times by writing to our Communications Officer at jeremy@iglyo.com.

For IGLYO to be able to manage an organisation’s Friendship, Friends of IGLYO are asked to create a Glue Up account, through which they are able to manage and update their information. Friends of IGLYO are responsible for keeping their information up to date on Glue Up, and to keep IGLYO informed of potential changes that might affect communications related to their Friendship. 

4.5. Opportunities and resources website contribution

IGLYO Members and partners have the possibility to submit their opportunities (events, open calls, campaigns and job offers) and resources for publication on the IGLYO website. Submissions are collected through forms on Survey Monkey, available on the IGLYO website. In these forms, we ask them to provide us with their contact details in addition to information related to their opportunity or resource. 

By submitting these forms, Members and partners agree for their opportunities and resources to be publicly available on the IGLYO website and newsletter — and, if agreed in the form, to be disseminated on IGLYO’s social media channels. Members and partners whose opportunity or resource is publicly available on the IGLYO website have the right to request edits to or ask for the removal of their opportunity or resource by contacting our Communications Officer at jeremy@iglyo.com.

As it is specified in the submission form that all photos and materials submitted by a Member Organisation or partner for publication on the IGLYO website should be free of copyrights and free for IGLYO to use and disseminate, Member Organisations and partners are entirely responsible for the photos and materials they submit through the opportunity and resource submission forms, and IGLYO declines all legal responsibility in this regard.

4.6. Activity and Event Application

IGLYO collects applications through Survey Monkey or Google Forms. When applying for an IGLYO activity or for an event requiring a selection process, we ask you to provide us with the information mentioned in 4. Types of Data Collected. In addition, we might ask you for any information specifically required by the activity you are applying for, such as your short bio, past experiences, motivations, and emergency contact person(s). 

The information you choose to provide through our application forms might be shared with third parties taking part in the organisation or implementation of the activity itself, such as the activity’s partners, sub-contractors, and funders, depending on the nature of the activity.

4.7. Event Registration

When registering for an in-person or online event, we will ask you to provide us with the information mentioned in 4. Types of Data Collected, in addition to any information specifically required by the event you are registering for.

When registering for in-person events specifically, we might also ask you about additional information on your accessibility requirements, dietary restrictions, as well as travel details and emergency contact person(s). This information might be shared with trusted third parties taking part in the organisation or implementation of the event itself, such as the event’s partners, sub-contractors, and funders. With your prior consent, information such as your phone number and travel details might be shared with other participants to facilitate on-site communications.

For in-person events still, we might also ask for your name as it appears on your legal identification documents, as well as a copy of these documents. However, this is only if required by purely administrative tasks such as booking or reimbursing your travels, and booking your accommodation. We will not use or disclose your name as it appears on your legal identification documents outside of internal and third parties strictly bound to the execution of these tasks, such as travel operators and accommodation managers. 

Whether participants are invited to register directly or upon a successful application, registrations for our in-person and online events are carried out through our CRM platform Glue Up, whose Privacy Policy is available here. During the registration process, registrants are invited to create a Glue Up account to be able to manage their personal information, registration, and fee payments by themselves, and communicate with other event participants ahead of and during the event. 

The management of participants’ information on Glue Up is the sole responsibility of the participants. Participants who register for an IGLYO event through Glue Up are also automatically subscribed to IGLYO’s mailing lists on Glue Up, and can unsubscribe at all times in the same way as described in 4.2. Newsletters above. 

4.8. Photos and videos

As an international organisation for LGBTQI young people, IGLYO understands the utmost importance of respecting the privacy of its participants when it comes to taking and publishing photos and videos of its activities. We always ask for consent before taking and publishing photos and/or videos of our participants, whether through a release form to be signed physically during the activity, or through the application or registration form of an activity. 

Participants who agree to both appear on photos and videos and for them to be shared, agree for IGLYO to share the photos and videos on its own channels — including but not limited to the IGLYO websites, social media, printed and digital resources and promotion material —, as well as for IGLYO to share the photos and videos with trusted third parties such as Members, partners and funders, who might share them on their own channels, with IGLYO’s prior agreement.

Participants appearing on photos and videos have the right to ask for a photo to be removed from IGLYO’s channels at all times by contacting us, and we commit to diligently fulfil this request within the realms of possibility.

5. Data retention period

We retain most of your Personal Data as needed to provide you our Service. We do not retain your personal data longer than it is necessary to achieve the purpose of processing.

6. Tracking & Cookies Data

We use cookies and similar tracking technologies to track the activity on our Service and hold certain information. The information collected is used to make our website easier to use, and to speed up your future interactions on our website.

Cookies are files with a small amount of data which may include an unique identifier. Cookies are sent to your browser from a website and stored on your device. Tracking technologies also used are beacons, tags, and scripts to collect and track information and to improve and analyse our Service.

We may also collect information on how the IGLYO website is accessed and used (‘Usage Data’). This Usage Data may include information such as your computer's Internet Protocol address (e.g. IP address), browser type, browser version, the pages of our Service that you visit, the time and date of your visit, the time spent on those pages, unique device identifiers and other diagnostic data.

You can instruct your browser to refuse all cookies or to indicate when a cookie is being sent. However, if you do not accept cookies, you may not be able to use some portions of our Service.

6.1. How to control Cookies

You have the right to decide whether to accept or reject cookies by clicking on “Reject” in the cookie banner that automatically appears when you arrive on the IGLYO website, or in the following ways:

  • Browser Controls: You can set or amend your web browser controls to accept or refuse cookies. If you choose to reject cookies, you may still use our Service though your access to some functionality may be restricted. 7. Analytics

We may use third-party Service Providers, such as Google Analytics, to monitor and analyse the use of our Site.

Google Analytics is a web analytics service offered by Google that tracks and reports website traffic. Google uses the data collected to track and monitor the use of our Service. This data is shared with other Google services. Google may use the collected data to contextualise and personalise the ads of its own advertising network.

You can opt-out of having made your activity on the Service available to Google Analytics by installing the Google Analytics opt-out browser add-on. The add-on prevents the Google Analytics JavaScript (ga.js, analytics.js, and dc.js) from sharing information with Google Analytics about visits activity.

8. Transmission and disclosure of your data to third parties

As aforementioned, IGLYO entities who have access to Personal Data and are not considered third-parties are, in order of access frequency, the IGLYO Secretariat (staff members), the IGLYO Executive Board, and the IGLYO Governance Team.

We do not sell personal data. However, in some instances, your Personal Data can be transferred to a third party, namely:

  • Sub-contractors, co-organisers, funders, and supporting partners engaged in the framework of the strategy and mission of IGLYO; or
  • Competent authorities or any other legal entities to fulfil legal obligations or for purposes of law enforcement; or
  • If you consent to it.

These third parties have access to your Personal Data only to perform strictly agreed tasks on our behalf and are obligated not to disclose or use it for any other purpose.

Our third-party Service Providers, such as Glue Up and Survey Monkey, among others, have committed to bring their privacy policies in line with the legal requirements.

9. Links to other sites

Our Service may contain links to other sites that are not operated by us. If you click on a third party link, you will be directed to that third party's site. We strongly advise you to review the Privacy Policy of every site you visit.

We have no control over and assume no responsibility for the content, privacy policies, or practices of any third party sites or services.

10. Controlling your personal information

You can learn what Personal Data we have about you by contacting us at managers@iglyo.com. We will provide you with the response within five working days. 

If you believe that the information we are holding about you is incorrect or incomplete, please edit your profile on Glue Up if you have one or, when it comes to the data you cannot update, write to our Communications Officer at jeremy@iglyo.com. We will make necessary amendments as soon as possible. 

If you want your data to be completely removed from our database, please send a request to our Communications Officer at jeremy@iglyo.com. If you want to stop receiving our newsletters and other mailings, please use the unsubscribe button which can be found on the bottom of each communication. If you are an IGLYO Member or Friend of IGLYO, be aware that removing your data from our database or limiting our access to it makes us unable to provide you our Service in an appropriate way. Please note that it is not possible to unsubscribe from the mailings reminding you of an unpaid membership or registration fee.

You have the right to file a complaint with a supervisory authority, in particular in the Member State of your residence, if you consider that the processing of your personal data infringes applicable data protection law.

11. Children's Privacy

Our Service does not address anyone under the age of 18 (‘Children’), and IGLYO operates under a strict internal Child Protection Policy.

We do not knowingly collect personally identifiable information from anyone under the age of 18, and, as of June 2022, always ask for the person’s date of birth in the application and registration forms of our in-person and online events and activities. 

If you are a parent or guardian and you are aware that your child/children has/have provided us with Personal Data, please contact our Executive Director at bella@iglyo.com. If we become aware that we have collected Personal Data from children without verification of parental consent, we take steps to remove that information from our servers.

12. Changes to this privacy policy

We may update our Privacy Policy from time to time. You are advised to review this Privacy Policy periodically for any changes. Changes to this Privacy Policy are effective as soon as they are posted on this page.
